Position

The Payroll Administrator will process semi-monthly payroll, maintain employee time records, and assist in all activities regarding the management of employee compensation in the company.

 

Duties and Responsibilities

  • Enters, maintains, and/or processes information in the ADP payroll system; information may include employees’ hourly rates, salaries, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
  • Partners with the People & Culture team to understand and apply changes to payroll-relevant employee data
  • Ensures proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions.
  • Establishes TechSoup as payroll entity in new states and responds to payroll tax authority communications in the states where we operate.
  • Reconciles payroll to the general ledger and monthly bank statements.
  • Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge.
  • Creates and runs regular reports from ADP, addressing questions with upper management and Finance as needed.
  • Creates and maintains information in both ADP and NetSuite, reconciling with other non-US payroll geographies.
  • Records and processes federal and state payroll tax deposits.
  • Investigate and resolve any payroll discrepancies and issues, collaborating with employees, managers and/or Finance.
  • Supports regular and ad hoc payroll audits.
  • Keeps current with policies relating to the taxation of salaries, benefits and other payroll factors
  • Performs other duties as assigned.

 

Qualifications

  • Ability to maintain confidentiality and show discretion around employee compensation
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn ADP and NetSuite.
  • Demonstrated ability to be punctual and adhere to attendance policies.
  • Ability to communicate orally and in writing in a clear and straightforward manner.
  • Ability to make decisions and solve problems while working under pressure.
  • Ability to handle multiple projects and tasks, research, prioritize and organize work effectively.
  • Ability to work independently and with others to resolve problems and handle requests.

 

Education

  • College degree or equivalent required.
  • 4-6 years of experience in payroll administration and accounting preferred.

Physical Demands

  • Prolonged keyboard duties.
  • Visual acuity in order to perform activities such as viewing a computer monitor for extended periods of time, analyze data and figures, and read books, files and other materials.
  • Willingness and capacity to sit for minimum periods of two hours at a time.
  • Capacity to reach forward to a high of 48 inches, to a low of 15 inches, to the side 54 inches and to the low side 9 inches above the floor.
  • Ability to lift or move up to 20 pounds.

 

Work Environment

While performing the duties of this job, the employee may be exposed to various components of an office environment such as florescent lighting, pollen, dust, recycled air, cooling fans, Video Display Terminals, semi-enclosed areas, central heating, seasonal warmer temperatures and office noise.
