Position

Reporting to the Operations Manager, the Program Operations Assistant, NGOsource will assist and support the operational success of NGOsource by supporting ED file preparation and management, grantmaker and member support, and operational and administrative processes. In this newly established role, the Operations Specialist, NGOsource will also help manage a pipeline of equivalency determinations (ED), as well as related and ancillary services and tasks.   

 

NGOsource, a project of the Council on Foundations and TechSoup, is an online equivalency determination (ED) service for US funders who make international grants. It offers a unique centralized repository of EDs for NGOs and governments located in over 135 countries. NGOsource provides ED services to over 375 grantmakers members and other organizations who are interested in this elite level of grantmaking compliance. NGOsource’s membership includes nine of the ten largest international grantmakers in the US and 18 of the largest 20, as well as donor advised funds, small and medium-sized family foundations, corporate foundations, and community foundations. 

 

Please note: This position will be based in the San Francisco office.

 

Duties and Responsibilities

  • Manage and track ED quality and efficiency by;
    • Preparing submitted ED flies
    • Supporting the management of the ED pipeline
    • Coordinating with technical teams to ensure NGOs experience a seamless technical experience.
    • Processing ED certifications
    • Entering relevant NGO and grantmaker data
  • Support NGOs undergoing the ED process by answering questions, supporting our Global Partners, keeping the ED process moving forward, and tracking ED progress.
  • Support NGOsource Grantmaker members through customer support and success programming.
  • Manage processes that will maximize program efficiencies.
  • Provide operational and administrative support to the NGOsource Team.
  • Manage incoming NGOsource correspondence.
  • Produce reports highlighting the success and impact of NGOsource and ancillary services.
  • Support monthly billing processes.
  • Manage ED repository and quality of data.
  • Manage NGOsource calendars
  • Support the NGOsource legal team operationally and administratively. 

 

 

Qualifications

This is an extraordinary opportunity for an individual with program management experience to grow and further develop a proven (and growing) program. The successful candidate will have stellar interpersonal skills, will have led programs before, and will be able to work collaboratively in a fluid environment.

 

Specific requirements include:

  • Two years of related experience, either with EDs, program management, or business administration (preferably in the philanthropic sector).
  • Strong attention to detail skills.
  • Excellent management and organizational skills as well as analytical capabilities.
  • Proven record of leading projects across a variety of skillsets, management levels, and customer needs.
  • Ability and willingness to work at a tactical level.
  • Excellent interpersonal skills and a positive attitude.
  • Knowledge of international grant making desired,

 

Education

  • Bachelor’s degree preferred.
