Community Building Projects Support

TechSoup Europe is the European division of TechSoup, headquartered in San Francisco, CA. In the last 30 years, TechSoup has connected over 1 million nonprofits and delivered more than US$10 billion in technology tools and philanthropic services from over 90 corporate and foundation partners all over the world. TechSoup Europe together with 24 partner organizations representing many different areas: digital transformation, capacity building, media literacy, civic engagement, or digital inclusion, helps nonprofits including grass-roots, small, local organizations in 48 European countries build their capacity. We build communities of practitioners, by creating offline and online opportunities for networking, and meeting, equipping changemakers with transformative technology products, knowledge, and services so that they benefit from technology and focus on their mission.
Currently we are looking for a person who will support logistics of two ongoing community building projects:
MEGAPHONE is a 2 day event designed for activists and NGO professionals working in Central Eastern Europe facing challenges connected to shrinking civic space. The first one (2018) took place in Cluj-Napoca, Romania and gathered 105 people, last year’s edition (2019) was organized in Budapest, Hungary. This year MEGAPHONE’s location will be decided shortly (but it will be in one of the countries in Central and Eastern Europe).
Projects involving activists and civil society organisations in other regions.
Your duties and responsibilities:
·Coordinating travel arrangements of participants of study visits, workshops and MEGAPHONE 2020
Coordinating the accommodation arrangements between the participants of the study visits, workshops and MEGAPHONE 2020
Coordinating the process of contract signing with the experts involved in the projects, session leaders for MEGAPHONE 2020 (preparing the contracts based on a template, filling in the data and collecting payment information, coordinating the process of hard-copy signing during the event)
Assist with all necessary visa requirements for participants from outside the Schengen Area for MEGAPHONE 2020
Keeping documentation and databases related to tasks
Experience with working in an international environment
Fluency in English, both oral and written communications; other language (e.g. Russian) is a plus
Good organisation and communication skills
Previous experience in carrying out similar tasks is an advantage
Some understanding of CSO (civil society organizations) is an advantage
